EXECUTIVE ASSISTANT

 

SUMMARY:

We are looking for a dynamic, self-starting individual to provide support for to the founder of Youngtrepreneurs as an Executive Assistant.  Must be based in Accra, Ghana, our Executive Assistant will be a highly efficient multi-tasker who will maintain status as the central brain for the executive calendar while assisting with all administrative duties of the office of the founder. This is a unique experience to observe and learn various facets of the organisation and management of the workshops. Hours are very flexible and mostly require you to work remotely. Wonderful experiences and perks in between. Potential to move to another area of the company after 2 years.

 

 

RESPONSIBILITIES:

  • Manage a complex calendar including scheduling and confirming talents for workshops. 

  • Being present at all organisation meetings. 

  • Prepare for all meetings/conference calls including research, as appropriate, pertaining to topics and meeting participants in advance.

  • Being responsible for communicating with guest instructors, talents that attend our workshops. Delivering necessary information.

  • Responsible for creating monthly updates and reports. 

  • Track/log incoming and outgoing calls and correspondence.

  • Coordinate travel arrangements, both domestically and internationally.

  • Heavy communication internally and externally.

  • Work collaboratively with our founder and other partners across Youngtrepreneurs. 

  • Proactively search for ways to manage use of schedules more effectively.

 

 

QUALIFICATIONS:

  • 3 months minimum experience in any volunteering, project management or assistant role supporting a higher level.

  • Ability to handle several simultaneous projects and personal commitments.

  • High attention to detail, strong communication skills and must have superb grammar skills.

  • Proficient in Microsoft Office including Outlook, Word, and Excel.

  • Ability to respond after hours for important, timely or urgent matters.

  • Team-player who operates in a fast paced team-oriented setting.

  • Ability to be discrete and maintain confidential information.

  • Understanding of how to prioritize and respond accordingly.

  • Strong interest within the creative arts, and as well as a passion for inclusive representation of grooming the youth.
